Terms & Conditions

These terms govern orders placed with XM Suppliers ("we", "us"). By placing an order you accept them.

1. Ordering

Orders are placed through this website by selecting stationery and/or textbooks, adjusting quantities and completing the checkout form. An order is confirmed once you receive an order reference (e.g. XM-260125-1234).

You are responsible for providing accurate customer, student and delivery information. Student numbers and participating schools are optional, but delivery to a school requires the school to be listed as a participating school.

2. Pricing

All item prices are shown in South African Rand (R), rounded to cents. No VAT or management surcharge is added. Where a delivery charge applies, it is shown separately in the order summary before checkout and on your invoice. Prices may be adjusted from time to time; the price at the time of your order applies.

3. Payment

We accept card payments and EFT (bank transfer). For card payments only the last 4 digits of your card are retained with your order.

EFT payments must be made to: Standard Bank, branch ONLINE BANKING (7654), account holder MR Xoliso X Maseko, account number 10 17 194 217 3 (SAVINGS), using your order reference as the payment reference. Orders paid by EFT are prepared once payment reflects.

4. Delivery

Orders are delivered to the participating school selected at checkout, addressed to the principal, or as otherwise arranged with us. A delivery receipt is issued when your order is delivered.

Delivery times depend on stock and school schedules; we will communicate any delays using the email address you provided.

5. Returns and cancellations

Incorrect or damaged items must be reported within 7 days of delivery for replacement or refund. Cancelled orders paid by EFT are refunded to the paying account once confirmed.

6. Protection of Personal Information (POPIA)

XM Suppliers is committed to compliance with the Protection of Personal Information Act 4 of 2013 ("POPIA"). In placing an order, you provide personal information including your name, email address, the student's name and details, and the delivery school. This information is collected and processed lawfully, reasonably and transparently, solely for the purpose of processing, fulfilling, delivering and administering your order, and for record-keeping as required by law.

Personal information is processed with your consent, which you give by submitting an order, and is limited to what is adequate, relevant and not excessive for that purpose. We do not sell, rent, disclose or otherwise make your personal information available to any third party for marketing or any purpose unrelated to your order. Payment card details are never stored beyond the last four digits.

We take appropriate, reasonable technical and organisational measures to secure the integrity and confidentiality of personal information in our possession and to guard against loss, damage, unauthorised access or unlawful processing. Personal information is retained only for as long as necessary to fulfil the purposes for which it was collected, or as required by law, after which it is securely destroyed or de-identified.

In terms of POPIA, you have the right to request access to the personal information we hold about you, to request the correction or deletion of personal information that is inaccurate, irrelevant, excessive, out of date or unlawfully obtained, and to withdraw your consent or object to the processing of your personal information. To exercise any of these rights, or to lodge a query or complaint, contact our Information Officer, Mr. X Maseko, at xolisomaseko1204@gmail.com. You also have the right to lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.
